FlightBridge Integration (Incoming Requests) - Introduction

Learn how to manage incoming requests from Flightbridge in X-1FBO

X-1FBO has a complete integration into FlightBridge that includes the ability to book hotels, rentals and catering from within X-1FBO as well as allowing you to accept FlightBridge Reservations directly to your Request List as well as chat directly with the aircraft operator from within X-1FBO. We are going to cover how to accept those incoming reservations from FlightBridge (FlightBridge uses the term reservation and X-1FBO uses the term request to describe the arrival and departure of an aircraft) and how those reservations become and "Incoming Request" in X-1FBO.

There are 3 options for how you can set up your integration to FlightBridge

Fully Automated: All new FlightBridge Incoming Requests and updates to existing requests will feed into the X-1 Request List automatically. This means that we automatically create and update your request list with information coming from Flightbridge.

Semi-Automated: Users must manually accept all new FlightBridge Incoming Requests, but any updates made to the existing request will feed automatically into the X-1 Request List. This means that your team must accept the initial request from Flightbridge and then updates to that request are automatic. This setting allows you the opportunity to view the request for any services that may require extra attention.

Manual: Users must manually accept all new FlightBridge Incoming Requests and updates made to existing reservations. This mean you have to accept everything coming from Flightbridge for it to show up or update a request in your Request List. Please note that some operators update requests very often.

Where to find your Incoming Requests from FlightBridge

At the right-hand side at top of the page, where the tool bar for X-1 is located, the notification bell icon will show you how many incoming requests are pending from Flightbridge or any other sources you have connected.

You can also find FlightBridge requests in the “Incoming Request” tab under Customer Service

You have an Incoming Request from Flightbridge, what's next?

The Incoming Request from Flightbridge will contain the reservations from Flightbridge. This will include services that the customer (aircraft operator) may be looking for at your FBO.

First thing we need to do is make sure we connect that inbound request to one of your customer records in X-1FBO. This maps that operators Flightbridge account to their customer record in X-1FBO. This step only happens the first time you encounter a new customer coming from Flightbridge, once you link them, they remain connected unless you unlink them.

How to SYNC an incoming request:

You can sync the reservation to X-1FBO by clicking the sync icon on your incoming request list

005 - Incoming Request Line

If the customer does not exist, you will have the option to create a new customer account to sync the FlightBridge request to. Tail number coming from FlightBridge will be assigned to one Tail number in X1. If the tail does not exist, you will have the option to create the tail number in the X-1 system to sync the FlightBridge request to.

In this image you see the grayed-out fields are the names the customer uses in FlightBridge. You then search and select the matching customer and tail number in X-1FBO.

As soon as both the customer and aircraft have been added to X-1, Select “SYNC” and you will see the sync icon change to green

Once the customer and tail are synced with X-1FBO you will see that the line on the Incoming Request List now has the aircraft ICAO code and the company name. Again, this step is only required the first time you encounter a new tail number or customer. You can see this information in the customer record by going to Company Data -> Customer List -> and selecting the customer you synced. You will notice you have the ability to unlink this customer from the FlightBridge customer here as well.

Once a customer record is linked you will see the sync icon under the Action column is now green and this Incoming Request can be accepted and sent to your Request List. (See image below)

How to Accept or Reject an incoming request:

Under the Actions column you will also notice the Edit (Pencil) icon. Click this icon and a New Request will pop open with the details from FlightBridge. Here you can accept or reject the request.

Services can now be added or edited as needed. Once a service is modified or completed the status of that service is updated in FlightBridge for the operator.

IMPORTANT NOTES:

Bookings completed by the operator in FlightBridge will come into X-1FBO as completed. Because the customer booked these services themselves there are some differences in how the statuses of these services behave vs. services that are added by your FBO.

If the operator cancels the request from FlightBridge and the services are completed or billed it will not be possible to accept the cancellation. We wouldn't want to cancel a request that has already had services completed or billed out.

Operator Notes from FlightBridge

To view notes from the operator, you can click on each service (FlightBridge collects the notes per service requested) and you will a section called "FlightBridge Pilot Notes".

You're all done with the Incoming Request

After the request is accepted, it will disappear from the “Incoming Requests” and show in the X-1 Request List for the date of arrival. You will notice that the “Source” column will show that the Request came from FB (FlightBridge) to be easily identifiable for CSRs to know where the request was created.

This will also send a confirmation e-mail to the Operator who sent the request to the FBO, letting them know that their request has been Confirmed.
