🛢️ Major Close Period Improvements

FBOs whose fuel inventory belongs to several owners can now split the Close Period variance by owner, confirm that the split adds up before saving, and close a period with zero variance.

Edit the Variance by Owner

In Fuel Management → Inventory → Close Period, the owner grid now offers four edit modes. Only one is active at a time:

  • Read Only

  • Edit by Variance

  • Edit by Percentage: edit the Percent column, and Variance and New Balance recalculate as you type. Negative values and totals over 100% are not accepted.

  • Edit by New Balance: edit the New Balance column directly.

The over-100% check applies the same way in every edit mode and stays in place when you switch modes.

Defuel lots owned by the company appear as a greyed-out, read-only Combined Defuel Lots row. This row is never counted twice; hover over it for an explanation.

Inventory Summary Row

A summary under the Inventories grid shows Total Balance, Total Percent, Total Variance and Total New Balance, and updates as you type in any edit mode.

If Total Variance does not match the period's variance, or Total Percent is not 100%, the summary turns red, shows the difference, and Save is disabled until the split is corrected. The summary appears when the FBO profile's variance setting is Percentage by Balance or After last solve.

Close with Zero Variance

With the FBO profile set to Percentage by Balance, you can now record a Close Period when the physical variance is 0. This lets you move gallons between owners, for example from the FBO to a contract-fuel owner, without recording an artificial gain or loss.

  • Every owner starts at 0 variance, with New Balance equal to the current balance.

  • Move quantity using Edit by Variance or Edit by New Balance. Per-owner variances must add up to 0, so no fuel is created or lost.

  • Edit by Percentage is not available for a zero-variance close.

  • The confirmation message describes the zero-variance close or redistribution.

  • In accounting, the FBO's inventory is reduced at FIFO cost, and the receiving owner's inventory increases through a $0-cost adjustment.

✨ Enhancements & Improvements

⛽ Fuel Inventory & Pricing

Automatically Use Defuel Lots

Customer profiles for customers that own inventory now include an Automatically Use Defuel Lots setting, located under "Do not allow Inventory to go negative."

When it is on, fuelings for that customer draw from the customer's defuel lots first, then from its own inventory, without selecting Refueling on the fuel ticket. Each fueling reduces the defuel lot balance and shows "Took from defuel Lot." Defuels for that customer are not linked back to earlier fuelings.

The setting is off by default, so existing customers continue to work exactly as before.

Fuel Ticket Meter Order

Printed fuel tickets for two-meter trucks now always list Meter 1 first, matching the Fueling screen.

Previously, a fueling created from an X-1 CC e-ticket could print Meter 2 first after it was opened and saved. The meter readings themselves were always correct.

🧾 Invoices

Change of Customer Options

When you change the Sold To/Customer on an invoice that has a request, X-1FBO now asks what to update:

  • Invoice Only: the invoice moves to the new customer, and the request keeps the previous customer.

  • Invoice & Request: both the invoice and the request move to the new customer.

Fueling and defueling operations, and defuel lot ownership, are not changed by this action. An invoice without a request no longer moves its fueling.

The new customer now remains on the invoice through payment and printing. Previously, the invoice could return to the original customer when you continued to payment.

Contract Fuel Emails

  • Sale invoices paid with contract fuel are now emailed to the contract fuel's Email 1 / Email 2 when the sale is processed.

  • Refunds on contract fuel invoices now follow the email setting of whoever pays: the customer's setting when the customer pays, and the contract fuel's setting when the contract fuel pays. The FBO Profile's Always option still sends every time.

AVTRIP Rewards

AVTRIP rewards can now be submitted only once per invoice. Previously, clicking Rewards again added another entry to the Reward List.

Recurring Invoice Credit Cards

In Accounting → Recurring Invoice, the Add new credit card window now loads the X-1PAY card form for both Manual Entry and Direct Terminal, so cards can be saved for automatic payment.

💳 X1PAY

Simultaneous Card Payment Protection

X-1FBO now prevents two card payments from being charged when two stations submit payment on the same invoice at practically the same moment.

The second attempt displays "Payment in progress. Do not attempt again." This strengthens the existing payment-in-progress protection, especially when using payment terminals.

Direct Debit Invoices

X1PAY Direct Debit invoices no longer remain in Processing. They now move to Processed and appear in Batch Payments, so they can be reconciled and marked paid as expected.

📊 Accounting & Reporting

Closing Report Accuracy

The Closing report now includes transactions based on what happened during the selected date range, so re-running a past period returns the same result:

  • A sale made in the range still appears, even if it was cancelled after the range ended.

  • An invoice cancelled before the range starts does not appear.

  • Credit memos dated in the range appear as negative amounts and reduce the totals.

  • A sale and its credit memo in the same range appear together and net to $0, including card invoices voided on the same day.

For the same date range and date type, Closing totals now match the Sales by Product & Services Detail report.

Example: an invoice sold on 09/19 and cancelled on 09/21 appears in the 09/18–09/20 report, and its credit memo appears in the 09/21–09/24 report. A 09/18–09/24 report nets the two.

Sales Summary by Products: Filter By Date

The report parameters now include Filter By, with the same options as the Closing and Sales by Product & Services Detail reports:

  • Invoice Date: the default; results are the same as before.

  • Activity Date: when the sale was completed.

  • Processing Date: when it was paid.

The filter applies to the PDF and Excel output, every section and every total.

Sales by Product & Services Detail: Local Activity Date

The Activity Date column now prints in airport local time in both PDF and Excel.

Previously, it printed in UTC, so late-evening sales could appear to belong to the next day. Report totals were not affected.

🔗 QuickBooks Online

Card Payment Entries

When a card payment is posted, voided or refunded, X-1FBO now sends the accounting entry to the Accounting Hub for FBOs using QuickBooks Online, as it already does for other accounting integrations.

Vendor Names

Vendor synchronization no longer adds "Vendor" to the front of vendor names in X-1FBO (for example, "Vendor Vendor AVFUEL"). Vendors now keep their own names in X-1FBO.

Vendor names that already show the repeated prefix are not corrected automatically. If you would like help cleaning them up, reach out to our Support team via the chat bubble.

✈️ Operations

Tenancy Label

When a request's tail number is changed from a transient tail to an FBO-based tail, the tenancy label now updates to FBO-Based on the Arrival/Departure Board, the Request List and in Edit Request.
