Requesting a Fuel Ticket E-Signature

A guide on how customers can electronically sign their fuel tickets

Requesting a customer's signature on a fuel ticket in X-1 can be done in two ways: from the X-1 desktop system or directly through the X-1 SinglePoint device. This guide walks you through both methods and includes instructions for setting up your custom email template for signature requests.

🔹Requesting a Signature from the Desktop

  • Locate an Existing Fuel Ticket
    Go to Fuel Management > Fuel Inventory, then locate the fuel ticket you'd like to request a signature for.

  • Request Signature
    Click the Multi-Action button and choose Request Signature from the dropdown menu.

  • Enter Email Address
    A prompt will appear asking you to enter the customer's email address. Once submitted, the system will send them a signature request email.

✨ Note: The subject line and body of this email are pre-set, but you can customize them! Scroll down for instructions on editing your signature request email template.

Customer E-Signs
The recipient will receive an email with a “Click Here” link that opens a virtual signature pad.

Then, they’ll enter their e-signature in the box and click Submit. After submission, they’ll see a PDF version of the signed fuel ticket.

  • Signature Reflected in System
    Once signed, the fuel ticket in X-1 will automatically update to display the customer's e-signature at the bottom.

🔹Capturing a Signature on X-1 SinglePoint

Important: Signatures in SinglePoint must be captured at the time of fueling. You cannot add an e-signature to an existing ticket from the device.

  1. Complete Fueling
    From the Fueling or Services tab, complete the fueling process.

  2. Capture Signature
    After completing fueling, tap Signature to open the virtual signature pad. The customer can sign directly on the device using their finger or a stylus.

  3. Confirm Signature
    Tap Confirm to save the signature.

    ⚠️ Do not select "Finish" before collecting the signature. If you do, you’ll need to request the signature later via the desktop.

  4. Email & Finalize
    Once the signature is collected, you can email a copy of the fuel ticket to the customer. Tap Finish to save and close the ticket.

🛠️ Customizing Your Signature Request Email Template

You can tailor the signature request email to match your brand’s voice or include helpful info.

  1. Navigate to Notifications > Settings

  2. Select Request Fuel Ticket Template

  3. Edit the Subject and Body fields of the email.

💡 Important: The message “Please Click HERE to e-sign your Fuel Ticket” is part of a default system link that redirects customers to the signature screen. Do not delete or change this link.

  1. Click Save to apply your changes.
