Requesting E-Signatures for Invoices

A Step-by-Step Guide to Requesting and Capturing E-Signatures on Invoices

If your FBO is not using one of our X-1 Pay Payment Terminals, you can easily request it after processing the invoice or moving it to Ready using X-1’s Request Signature feature. This allows you to securely collect and store electronic signatures for invoices directly within the X-1 system.


🧾 Requesting a Signature for an Invoice

  1. Go to the Invoice Section
    After the invoice has been created and moved to Ready or Processed, navigate to one of the following menus:

    • Accounting > Invoice, or

    • Customer Service > Invoice

    ⚠️ You can only request a signature if the invoice is in Ready, Processing, or Processed status.

2. Find the Invoice
Use the Ready, Done, or All tab (depending on the invoice’s status) to locate the invoice you want to send for signature.

3. Request Signature
Click the Multi-Action button next to the invoice and select Request Signature from the dropdown list.

4. Enter the Customer’s Email
A pop-up window will prompt you to enter the customer’s email address. Once entered, the system will send an email request for their signature.

Note: The email's subject and message body are pre-set by default, but you can customize them to better suit your FBO's tone and branding. (Instructions below!)

Customer Signs the Invoice
The customer will receive an email with a “Click Here” button, which opens a virtual signature pad.

They’ll enter their e-signature in the box, submit it, and then be shown a PDF version of the signed invoice.

Signature Reflected in X-1
Once submitted, the invoice in X-1 will automatically display the customer’s e-signature at the bottom of the record.


✏️ Customizing Your Signature Request Email

Want to tailor the message your customers see when requesting a signature? Here's how:

  1. Go to Notifications > Settings

  2. Select the Request Invoice E-Sign Template

  3. Edit the Subject Line and Email Body to match your company’s tone

    🚨 Important: The line “Please Click HERE to e-sign your Invoice” contains the system-generated link that opens the e-signature pad. Do not remove or alter this link to ensure proper functionality.

  4. Click Save to apply your changes.
