🚀Activation Process
Getting started is easy. There’s no action required on your end—the X-1FBO Team takes care of everything for you.
We’ll verify that your Avfuel credentials are active and ensure the correct permissions are enabled for all roles. Once that’s done, your team will be able to view and process Avfuel fuel releases with no trouble.
📂 Accessing Avfuel Fuel Releases
To access your Avfuel fuel releases:
Go to Customer Service > Fuel Release
Click on the Avfuel tab
Select the V3 Fuel Release link
You'll be redirected to our Version 3 interface—familiar territory if you’re already using the AD Board, Accounting Hub, or X-1 Café.
🧭 Navigating the Fuel Releases
Once inside the V3 Fuel Release screen, you’ll see a list of open Avfuel fuel releases. These are automatically sorted by Arrival and Departure dates.
You can also filter and search using:
Customer
Tail Number
Operator
Authorization Number
This helps you quickly find the release you need.
💡Note: If a fuel release isn’t tied to a specific aircraft, the Tail Number field will be blank.
📅 Fuel Release Validity
Fuel releases are valid as long as the fuel ticket date falls within the Arrival and Departure dates, plus a 2-day grace period—giving you extra flexibility for delayed flights or billing follow-ups.
⏳ Heads-up: Avfuel fuel releases don’t expire from the list—they’ll stay available until you no longer need them.
🔍 Viewing More Details
Need more information on a release? Just click the dropdown arrow next to any entry to expand the view and see:
Fuel Release Information
Customer Information
Authorization Number
The card number shown under the Customer Information is the Avfuel Contract Fuel card—the same as you’d see on a physical release. While you’re using an authorization number, the system processes it as a Contract Fuel card in the backend.
🧾 Invoicing with Avfuel
To invoice using an Avfuel fuel release:
Select the Contract Fuel card
Choose Avfuel
Set Fuel Release as the payment method
Click Payment to continue
After clicking "Payment" the system will pull up the list of open fuel releases that align with the fueling date.
💡 Note: The fuel release must align with the fueling date—it must fall within the ETA and ETD, plus two extra days.
If there’s no fuel ticket on the invoice, the system will default to the invoice date.
Once you select the correct release, click Pay to complete the transaction.
✅ Final Step: After processing the transaction, the customer will be able to see the Authorization Code of the fuel release, along with the last four digits of the card number, under the Payment Information section on the invoice print.
