Importing Operations from QTPOD

Steps to import self-serve card transactions from QTPOD into X-1FBO

Written by Jeanette Diaz

Export your transactions from QTPOD, clean up the file, and import it into X-1. Once processed, X-1 creates a fuel ticket and an offline invoice for every QTPOD transaction you upload.

Before you start, make sure you have:

  • Access to the QTPOD Site Manager at sm.qtpod.com

  • A customer named QTPOD set up in X-1FBO

  • Tail numbers SELFSERVE-J (Jet A) and SELFSERVE-A (Avgas) set up in X-1FBO

  • Payment methods in X-1FBO for each card type QTPOD accepts (for example, American Express, Visa

Importing proprietary cards? Proprietary card transactions are imported separately. See Importing Proprietary Card Transactions from QTPOD article linked below:

Step 1: Export your transactions from QTPOD

  2. Click Transactions in the top menu.

Step 2: Format the CSV file

Important: Format every file before you import it. X-1 can only match transactions when the names, statuses and tail numbers line up with what's in X-1FBO.

Open the .CSV file and make these changes:

Column

What it holds

What to do

C

Customer name

Change every name to QTPOD so it matches the customer in X-1FBO.

F

Status

Delete any row marked VOID, DECLINED or ERROR.

G

Card type

Delete any Proprietary card rows (these are imported separately). Then make sure each card name matches a payment method in X-1 — for example, change AMEX to American Express.

M

Taxes

Enter 0 in any blank cell. This column can't have empty values.

O

Tail number

Enter SELFSERVE-J for Jet A or SELFSERVE-A for Avgas.

When you're done, save the file as a .CSV. If Excel asks, choose to keep the CSV format.

Step 3: Import the file into X-1

  1. In X-1FBO, go to Fuel Management > Import Operations.

  2. Click Import in the top right corner.

  3. Select the customer QTPOD.

  4. Click Import File and choose the .CSV file you formatted in Step 2.

  5. Click Upload.

Step 4: Review and process the transactions

When the upload finishes, a success message appears and your transactions show up in the Pending tab.

  1. Check for errors. Any row with a problem shows an exclamation mark — hover over it to see why.

    • For more details on the common errors and what they mean, check out

QTPOD Import Errors article linked below:

  2. Select all transactions using the checkbox at the top left of the list.

  3. Click Process Data at the bottom right.
