Importing Proprietary Card Transactions from QTPOD

Steps to import your FBO's proprietary card transactions from QTPOD as Direct Bill charges

Written by Jeanette Diaz

Export your proprietary card transactions from QTPOD, clean up the file, and import it into X-1. Once processed, X-1 creates fuel tickets and invoices with a Direct Bill payment method and a balance due on the customer's account.

Before you start, make sure you have:

  • Access to the QTPOD Site Manager at sm.qtpod.com

  • The customer set up in X-1FBO with Direct Bill as a payment method

  • The customer's aircraft (tail numbers) set up in X-1FBO

Importing regular credit card transactions? Those follow a different process. See Importing Operations from QTPOD article linked below:

Step 1: Export your transactions from QTPOD

  1. Log in to the QTPOD Site Manager at sm.qtpod.com.

  2. Click Transactions in the top menu.

  3. Choose your Terminal, then set the Start Date and End Date for the transactions you want to import.

  4. Click Search.

  5. Click Legacy Export to download the transactions as a .CSV file.

Step 2: Format the CSV file

Important: Format every file before you import it. X-1 can only match transactions when the customer names and tail numbers line up with what's in X-1FBO.

Open the .CSV file and make these changes:

Column

What it holds

What to do

C

Customer name

Change the name to match the customer's name in X-1FBO exactly. Make sure that customer is set up as Direct Bill.

F

Status

Delete any row marked VOID, DECLINED or ERROR.

M

Taxes

Enter 0 in any blank cell. This column can't have empty values.

O

Tail number

Change the tail number to match the aircraft in X-1FBO.

When you're done, save the file as a .CSV. If Excel asks, choose to keep the CSV format.

Step 3: Import the file into X-1

  1. In X-1FBO, go to Fuel Management > Import Operations.

  2. Click Import in the top right corner.

  3. Select the customer's name.

  4. Click Import File and choose the .CSV file you formatted in Step 2.

  5. Click Upload.

Step 4: Review and process the transactions

When the upload finishes, a success message appears and your transactions show up in the Pending tab.

  1. Check for errors. Any row with a problem shows an exclamation mark — hover over it to see why.

    • For more details on the errors and what they mean, check out QTPOD Import Errors article linked below:

  2. Select all transactions using the checkbox at the top left of the list.

  3. Click Process Data at the bottom right.

🎉You're done! X-1 creates fuel tickets and invoices with a Direct Bill payment method and a balance due on the customer's account.
